What Does RSVP Mean and How to Collect Replies

3 min read ·

The abbreviation RSVP, often seen on invitations, comes from the French “Répondez s'il vous plaît” and means “please reply”. In other words, the hosts are asking guests to let them know whether they will come.

Why replies matter

Venue contracts usually include a date for confirming the final headcount, and you pay according to that number. Without replies there are two risks: you either pay for empty seats or run out of places. The seating plan, kids' table and transport all depend on this number.

What to ask on the RSVP form

  • Attending or not — this is the key question.
  • How many people are coming; adults and children separately.
  • Which side they are from — the bride's or the groom's.
  • If needed: dietary requirements, transport needs.
  • Space for a short message — guests are often happy to write one.

Keep the questions few: the longer the form, the less willing people are to fill it in.

Ways to collect replies

Calls and messages

Works for a small gathering. With many guests, remembering replies and copying them into a spreadsheet takes a lot of time, and mistakes become more likely.

With a printed card

The card gives a contact number and the guest calls. With this method, some replies may come late or not at all — guests tend to put off the call.

Online RSVP form

Guests reply directly from the invitation and the reply lands on your list immediately. With a digital invitation, the dashboard shows who's coming and who can't make it, and the list can be exported as an Excel file (Premium and Royal).

RSVP deadline and reminders

  • Set the RSVP deadline a few days before the date for confirming the final headcount with the venue.
  • State the deadline clearly in the invitation.
  • A few days before the deadline, send a reminder only to those who haven't replied.
  • When the deadline passes, call the non-responders personally — ideally a family member who knows the guest.

An online RSVP form is included in every invitation; you track the results in your dashboard.

Etiquette for guests

If you're a guest: don't delay your reply, let the hosts know right away if your plans change, and ask before bringing someone who isn't named on the invitation.

Frequently asked questions

Is it okay not to respond to an RSVP?

You can, but it puts the hosts in a difficult position — they don't know whether to save a seat for you. Even “I can't make it” is a helpful answer for them.

What if a guest replies and then changes their mind?

They should let the hosts know as soon as possible. The hosts, in turn, should check the list once more before confirming the final number with the venue.

What's the difference between an RSVP and a save the date?

A save the date is a short early notice of the date and doesn't ask for a reply. An RSVP comes with the main invitation and asks the guest for a specific answer.
