How to Build Your Wedding Guest List in 5 Steps

2 min read ·

The guest list shapes your wedding budget, venue and even its tone. Most couples finalize it last — in reality, it should be the first thing you do.

1. Two families, two separate lists

Let each side prepare its own list, then merge them. That way it stays clear who invited whom, and duplicates show up immediately. Keep the list in three columns: name, contact number and side.

Cutting the list hurts — but 30 fewer guests can mean moving up a level in venue.

2. Drop the “maybe” category

Every name is either on the A-list or the B-list. The B-list only comes into play when someone on the A-list declines. Every name you mark as “maybe” turns into a problem in the final week.

3. Decide about children early

Are children invited? You can't decide this after the list is done, because whatever applies to one family has to apply to the other. There are three clear options — pick one and apply it to everyone the same way:

  • No children — state clearly in the invitation that it is addressed to the parents only.
  • Only children from the immediate family — mark who is included in a separate column of your list.
  • Everyone is welcome — plan a kids' table and a separate menu at the venue.

A digital invitation can make this easier: let the RSVP form ask how many people are coming, and note children separately, so your catering count comes out accurate.

4. Timing your B-list

Guests can tell when a B-list invitation arrives late. So give your A-list an RSVP deadline — two to three weeks after the invitations go out. As soon as a decline comes in, send a B-list invitation the same day, at least a month before the wedding.

Don't count replies by hand: with a digital invitation, the dashboard shows who has already replied, so you can compare it with your list and remind only those who haven't.

5. Check the number against your venue

Finalize the list before signing the venue contract, then compare two numbers: the venue's maximum capacity and your A-list. The difference is the size of your B-list — a B-list larger than that makes no sense.

The number will change as replies come in. Get the date for confirming the final headcount written into the venue contract, and plan to collect all replies before then.

Collect replies online: every invitation comes with an RSVP form and a private dashboard.
